1. What is The Work Number®?
The Work Number is a service that verifiers can use to verify employment and income information. The more than 190 million records on The Work Number database are provided to us by over 2,000 employers and are updated on a regular basis.

The Work Number database can be accessed using either our web site, which can be found at http://www.TheWorkNumber.com, or our telephone-based system, which can be reached by calling 1-800-367-5690.

2. Where Does the Data on The Work Number Database Come From?
The data on The Work Number database is provided to us by the more than 1,000 employers who rely on The Work Number to handle employment and income verifications for them.

3. What Type of Employers Use The Work Number?
A wide variety of employers, in a range of industries, use The Work Number including…

  • Kelly Services
  • Kroger
  • Bank One

4. How Can I Find Out if an Employer Uses The Work Number?
The easiest way to find out if an employer uses The Work Number is to view the list of participating employers. Our verifier clients also have the option of receiving monthly notifications of new employers whose records have been added to the database.

5. How Often is The Work Number Database Updated?
In most cases, the data on The Work Number database is updated every pay period.

6. What is a Verifier?
A Verifier is a person or organization that is trying to verify a person’s employment or income information. Verifiers include such organizations as…

  • Mortgage Companies

  • Social Service Agencies

7. What is an Employee?
An Employee is a person who has worked for a participating employer and whose employment and income information is available on The Work Number database.

8.What is an Employer?
An Employer is an organization that uses The Work Number to provide access to employment and income information about its employees.

9. What is a Database?
A database is a computer that is used to store large amounts of information about such things as people or companies. This information is typically organized into what are known as records.

10. What is a Record?
A record is a discrete set of information that is stored in a database. In the case of The Work Number database, each record describes a person’s time with a specific employer. Since The Work Number database contains 100 million records, on average we have 4 records for each of the 25 million employees whose information is available on The Work Number. In many cases, this includes information about a person’s current and previous employers.

11. What is a Salary Key?
A Salary Key is a six-digit number that allows a verifier to view a person’s income information. A verifier does not need a salary key if they only need to view a person’s employment information. There are some things you should keep in mind when it comes to salary keys…

  • A verifier cannot create a salary key. Instead, they must obtain a salary key from the person whose employment and income information they are trying to verify.
  • A salary key only provides one-time access to a person’s income data. If a verifier needs to verify a person’s income information for a second time (e.g. at a later date) then they will need a new salary key.
  • If a verifier is trying to view a person’s income information for the time they spent with different employers, then the verifier will need a salary key for each of those employers.

12. Why do I need a Salary Key?
In order to protect the privacy of their employees, our employer clients have asked us to require that verifiers obtain a salary key in order to view a person’s income information.

13. How do I create a Salary Key?
For security and privacy reasons, a verifier cannot create a salary key. Only the person whose information is being verified can create a salary key. If you are a verifier and need to instruct your applicant how to create a salary key, here is what to tell them.

The first thing the applicant needs to do is obtain an PIN. A PIN is a number that the person must know in order to be able to create a salary key. The person can learn about the format of their PIN by either contacting their Human Resources department or by contacting The Work Number customer service center at 1-800-996-7566.

Once the person knows what their PIN is, they can create a salary key in one of two ways. The easiest way to create a salary key is to go to the Employee section of The Work number web site and login to the system. To do this, they must first enter the name of the employer that they are trying to create the salary key for, click on the “GO” button, and then enter their SSN and PIN on the next page. The other way to create a salary key is to call 1-800-367-2884 and follow the prompts.

If the person has a problem creating a salary key, they should contact The Work Number customer service center at 1-800-996-7566.

14. What is a PIN?
A PIN is a number (often between 4 and 8 digits in length) that an employee of a client of The Work Number needs to be able to login to the Employee section of The Work number web site and create a salary key.

15. How can I find out what my PIN is?
To find out what your PIN is, please contact The Work Number customer service center by calling 1-800-996-7566 on the days of Monday – Friday and between the hours of 7 AM and 8 PM Central Time and we will be happy to assist you. You may experience a short wait for a representative during peak call times.

16. What is an Employer Code?
An Employer Code (which is sometimes known as a Company Code) is a five-digit number that is used to identify a specific employer on The Work Number database. For example, the employer code for Wal-Mart is 10108 while the Employer Code for The Home Depot is 87843. You only need to know what a company’s employer code is if you access The Work Number database using the telephone-based system (which can be reached by calling 1-800-367-5690). If you are using the web site, then you can just enter the name of the employer.
